How we collect, use, and protect your personal information.
Last updated: 1 January 2024
Personal Information — We may collect personal information including names, contact details, and other identifiable information when voluntarily provided through our website or in clinic.
Non-Personal Information — We may also collect non-personal information such as browser information, IP addresses, and cookies to enhance the user experience and for analytical purposes.
Age verification — Some treatments have a minimum age, and laser hair removal on intimate areas is for clients aged 18 and over. If you buy a course online we ask for your date of birth and ask you to confirm you meet the minimum age. Your date of birth is used to perform that check and is then discarded — we do not store it against your order. What we keep on the order is the outcome: the minimum age that applied, that it was met, and that you confirmed it. Where a purchase also creates your clinical client record, your date of birth is retained as part of that record because it is a clinical detail we need.
We do not sell, trade, or otherwise transfer your personal information to external parties without your consent, except as required by law or to provide our services.
We implement security measures to protect your information from unauthorised access, disclosure, alteration, and destruction. However, no method of transmission over the internet or electronic storage is completely secure.
You have the right to access, correct, or delete your personal information. To exercise these rights or enquire about your data, please contact us at info@feonixaesthetics.co.uk.
When you use our free AI Skin Analysis tool (the AI Skin Scanner), we process additional information, some of which is special-category (health-related) data under UK GDPR. This section explains how.
What we collect — the photo you upload or capture, your name, your email address, your phone number (which is required to use the scanner) and any concerns you choose to describe. From your photo we generate skin-analysis results (such as areas like fine lines or skin texture) and matched treatment suggestions.
How we use it — to generate your personalised skin analysis, email your results to you, and allow our clinicians to review your photo and results before any consultation. Your photo and results are treated as special-category data and processed only with your explicit consent, which you give when you use the tool.
AI processing — your photo is analysed by an AI service provided by Anthropic, acting as our data processor under contract. It is used only to generate your analysis and is not used to train AI models.
Storage and deletion — your photo and skin-analysis results are stored securely for up to 90 days, after which they are automatically deleted. Your contact details, your enquiry and the record of your marketing preferences are kept as part of our normal client records.
Two separate agreements — to receive your free scan result you are asked for two things, and we record each one separately: your explicit consent for us to analyse your photo with AI and keep your photo and results for clinician review (described above), and your agreement to receive marketing from us (described below). Both are required to use the scanner. For each, we keep a record of the wording you agreed to, when you agreed, and that it was given through the AI Skin Scanner.
Marketing by email and SMS — when you use the AI Skin Scanner you agree to receive personalised offers, treatment updates and clinic news from Feonix Aesthetics by email and SMS (text message). We add your email address to our email marketing list and record your email and SMS marketing preferences, together with your phone number, in our client records. You can unsubscribe at any time — use the unsubscribe link in any marketing email, or contact us using the details below — and we will stop sending you marketing. Unsubscribing does not affect a skin analysis result you have already received.
This tool provides general cosmetic guidance and is not a medical diagnosis; all treatments are subject to clinical consultation.
Your rights — you can ask us to access, correct or delete your data, withdraw your consent to the processing of your photo, or stop marketing, at any time by contacting info@feonixaesthetics.co.uk or Feonix Aesthetics Ltd, 15 Little Park Street, Coventry, CV1 2RN.
